(see story for detalls) Confidentiality is theme Medical records week at hospital For most people who have to spend time in a hospital, just about the last thing on their minds is their medical record. They are obviously morein- terested in getting better and going home with a clean bill of health. Though sometimes taken for granted by the public, medi- cal records are a crucial part of every hospital. And hospitals go to great lengths to insure those personal medical records remain confi- dential. The Canadian Health Records Association has desig- nated November 19-23 as Health Information Awareness Week, and this year's theme is "Confidentiality is Everyone's Business." i Terri Martin, director of the Health (Medical) Records Department at Community Me- morial Hospital in Port Perry, says "it is important that all health care workers are aware of the need for confidentiality. The objective this week (No- vember 19-23) is to promote confidentiality as the duty and responsibility of all employees- who handle health informa- tion." Ms. Martin said the Records Department will be handing out stickers and pos- ters during the week as a remin- der to all members of the staff. The hospital has strict poli- cies regarding medical records, including a pledge of confiden- tiality that must be signed by new staff when they take a posi- tion at the hospital. And breach of these policies is a serious matter that can lead to a severe reprimand or outright dismissal. "In promoting confidential- ity during this week, we want the public to know they can be assured their medical records are confidential," said Ms. Mar- tin. A medical record contains the complete history of a pa- tient: progress notes during stay in hospital; all medica- tions, physicians orders, and the results of all x-rays, lab tests, and diagnostic tests. And the record contains a summary prior to the patient being dis- charged. At Community Memorial, the Records Department main- tains this information in chart form for ten years. Information older than ten years is trans- ferred to micro-film. "The information is never dis-carded," said Ms. Martin. Patients who pay a "one- time" visit to the emergency de- partment have their record kept separately from the others. Contrary to what some may believe, their personal health records are not their property. The records are the property of the hospital. An individual can make a request to peruse his/her health record. But the patient's physician must be present when the record is being examined to ex- plain the medical information and Serminolagy.
